
Administrative Assistant
The Administrative Assistant / School Secreetary plays a crucial role in supporting the administrative functions of the school, ensuring smooth day-to-day operations. This position is responsible for managing communications, maintaining records, assisting staff and parents, and supporting the overall efficiency of the school office.
Administrative Support

Serve as the primary point of contact for visitors, parents, and staff.

Answer phone calls, direct inquiries, and provide information as needed.

Manage the school calendar, including scheduling meetings, events, and appointments.

Prepare and distribute correspondence, newsletters, and official school documents.

Maintain organized records of enrollment, and staff documentation such as staff attendance, clearances, and school policy documents.
Financial & Office Management

Handle incoming and outgoing mail, including invoices and school-related documents.

Assist with budget tracking, bills, purchasing supplies, and processing payments.

Coordinate with the Parent-Teacher Fellowship (PTF) regarding fundraising activities and financial contributions.
Student & Staff Support

Assist with student enrollment and re-enrollment processes.

Maintain student health records, emergency contact information, and necessary clearances.

Administer basic first aid and medications as permitted by parents on the student’s emergency card.

Record all medications administered and first aid treatments rendered by office staff.

Ensure incident reports are completed and filed for any staff/student injuries.

Coordinate delivery of medications and supplies with Shamokin Area School District nurse.

Support teachers and staff with administrative tasks, including copying, filing, and data entry.

Support teachers as a substitute when requested.
Communication & Public Relations

Assist in managing school communications, including emails, social media, and website updates.

Coordinate advertising efforts for student enrollment, including outreach via radio, flyers, and community engagement.

Maintain confidentiality and professionalism in all interactions with students, families, and staff.

Maintain confidentiality as required by the Family Educational Rights and Privacy Act (FERPA) and Health Insurance Portability and Accountability Act (HIPPA).
Facility & Security Support

Assist with school security procedures, including visitor check-ins and student sign-outs.

Coordinate maintenance requests and facility organization, ensuring a safe and orderly school environment.

Run errands such as bank deposits and supply runs

Attending board meetings after hours and participating in calls and messaging

Performs other related duties, as assigned, for the purpose of ensuring the efficient and effective functioning of the school.
Qualifications & Skills

Prior experience in administrative or secretarial work (preferably in an educational setting).

Strong organizational and multitasking abilities.

Excellent verbal and written communication skills.

Proficiency in Google Suite and other technical or office management software.

Ability to maintain confidentiality and handle sensitive information professionally.

Strong people skills and ability to work collaboratively with staff, parents, and students.
Preferred Qualifications

Experience working in a school environment.

Knowledge of student enrollment procedures and school administration practices.

Familiarity with fundraising and community engagement efforts.

Work Schedule & Compensation
Hours: 7 hrs per day, 5 days per week typical, some days longer with meetings or events
Compensation: $8-10 / hr
